The Facilities Manager will be responsible for establishing and maintaining security, custodial, utilities, and maintenance to support Fujifilm Cellular Dynamics Inc’s (FCDI) operations in Research and Development (R&D), Discovery Research Manufacturing and Therapeutics cGMP Manufacturing at its various locations.  This individual will supervise, lead, train and assist a team of personnel and vendors that are responsible for maintenance and repairs within FCDI facilities.  In addition, this position will assist with capital projects, program improvements, sustainability, EHS, and business continuity. 

Essential Responsibilities

Facility Maintenance Control 

• Establish, maintain, and improve cost-effective, cGMP-compliant systems and processes for facilities, utilities, and related equipment. 

• Lead efforts of continuous improvement within the asset management system and work order management systems. 

• Establish corrective and preventive maintenance procedures for facilities utilities through written standard operating procedures (SOPs) and proper documentation of work (planned and unplanned) completed to meet Quality Management Systems (QMS). 

• Maintain compliance with regulatory standards, including but not limited to GMP, OSHA, FDA, DNR, and FUJIFILM corporate standards. 

• Maintain files of warranties, records, licenses, inspections, service agreements, and contracts for facilities, utilities, and related equipment.  

• Manage the planning, response and recovery operations for emergency situations and disaster recovery. 

• Work with a variety of departments to minimize service interruptions and to ensure quality customer service. 

• Oversee the management of building monitoring and control system and minimization of critical alarms which could affect both cGMP manufacturing and laboratory operations. 

• Managing 24/7 on-call support and response for utility and facility critical alarms 

Budget control 

• Assists in developing bid specifications and contract documents, obtaining, reviewing, and analyzing estimates from reputable vendors, and preparing the bid tabulation sheets and associated paperwork to support the request. 

• Assist with facility-related budget preparation, tracking, financial forecasting and identifying and implementing efficiency and effectiveness programs to manage personnel and costs appropriately. 

• Conduct and oversee maintenance forecasting, planning and analysis as well as leading the consistent improvement in operational and client services so that schedules are met, and communications maintained. 

Contract Control 

• Oversee the negotiating and scheduling of facility service contracts with third party service providers and vendors. 

• Work with team to find cost saving of contracted services through scheduled rebidding and scope reviews. 

• Ensure contracted work completed meets the minimum requirements of SOPs. 

People Management 

• Supervise, train, and develop staff including organizing and prioritizing work, conducting performance reviews, and managing work performance. 

• Maintain morale and support employee engagement initiatives. 

• Other job functions as assigned. 

Required Skills and Education 

• Bachelor’s degree in engineering or science related field or equivalent experience. 

• 10+ years of related experience with demonstrated achievements and progressive responsibilities. 

• Experience scheduling contractors, internal resources, and materials to support planned and unplanned system and area shutdowns for maintenance activities. 

• Advanced mechanical skills and knowledge of plumbing, HVAC, and other building systems 

• Familiarity with the FDA Electronic Records and Signatures regulation (21CFR Part 11) and cGMP compliant maintenance and calibration program 

• Strong leadership capability and ability to mentor and train others 

• Excellent organizational, resource planning, and problem-solving skills required. 

• Proven ability to schedule and coordinate routine and non-routine work and projects activities requiring multiple tasks and follow-up. 

• Excellent oral and written communication skills including the ability to effectively communicate at all levels within the company and thrive in a fast-paced, ever-changing environment. 

• Demonstrated attention to detail, adherence to procedures and effective communication skills across diverse employee and vendor audiences. 

• Ability to use data analytics to drive business decisions and influence other stakeholders and leadership.

• Use of MS WORD, MS Excel, MS Project, CMMS, BAS, and database type programs. 

• Ability to respond to emergency situations after hours, weekends, and holidays as needed.
