A.         Facilities and Contracts Management

·            Responsible for the delivery of efficient and cost-effective facilities management for Great Eastern office spaces.

·            Responsible for administrative duties such as preparing reports, printing of access cards and reviewing of vendor’s checklists.

·            Plan and implement maintenance programmes such as cleaning, pest control, landscape, lockers management etc for office spaces.

·            Assist in the maintenance of all facilities and equipment necessary to support GE’s office premises, including Access Card system, CCTV system, generator set, auxiliary air-conditioning system, air-cleaners, water dispensers, etc.

·            Conduct procurement in accordance with company’s policies and procedures.

·            Support and plan for logistics requirement for staff events, when necessary.

·            Work closely with appointed Integrated Facilities Management (IFM) service provider(s); liaise and coordinate with other business support units such as Group Human Capital, Group IT, etc. when required.

·            Administrate contractual obligation for maintenance contracts.

·            Review submitted reports to ensure works are completed in accordance with specifications.

B.           Technical Expertise

·            Able to understand floor plans and building drawings.

·            Able to provide solutions when attending to maintenance & operational issues.

·            Familiar with authorities and regulatory requirements.

·            Able to provide recommendations to Department Lead for the purpose of resolving operational issues.

C.           Stakeholders Engagement

·           Engage and develop good relationships with stakeholders.

·           Able to work with various stakeholders to resolve operational issues (i.e. facilities or events related)

D.           Annual Business Plan / Budgeting

·            Involve in the annual business plan exercise and ensure necessary budget provisions are made for all corporate office operations and maintenance expenses, as well as Capex provisions for any renovations/re-stacking projects.

·            If necessary, to work with business units to include budget provisions for premise related upgrading/replacement works, e.g. Customer Service, Training Centre, etc.

E.            Others

·            To be involve and assist in project works involving office spaces (i.e. Defects inspection and taking over).

·            To be involve in Business Continuity Planning and Fire Safety Programme.

·            Any other duties that may be required or assigned by HOD.

Our Requirements

·            Diploma/degree holder in Building, Facilities or Built-Environment related discipline.

·            At least 3-5 years of relevant experience.

·            Knowledge in Building and M&E Systems.

·            Meticulous and systematic, with ability to multi-task.

·            Able to work independently and as a team player.

·            Good written and verbal communication skills.

·            Good computing and Microsoft Office skills.

·            Good interpersonal skills, positive work attitude and keenness to learn.

·            High level of integrity, takes accountability of work and good attitude over teamwork.

·            Takes initiative to improve current state of things and adaptable to embrace new changes.
